Who Uses Online Vaults?
Case Studies
#1 Protecting digital music
A typical young person purchases music from i-tunes every week. With about 700 songs, the investment runs into the hundreds of dollars. Unfortunately, the only place this data lives is on their MP-3 player, which is often exposed to dangerous situations and is relatively unprotected from theft.
After getting an online storage product, the music investment is protected, just in case the MP-3 player ends up being damaged (or at the bottom of a swimming pool). A painful confession to the parents is avoided, and the new MP-3 player can be reloaded without incident.
#2 Backup – data protection
A family buys a new home PC. They even think to buy a detachable USB drive for backup. But after some fiddling around with new software, the backup stops working and their PC, with photos and documents, is not protected from viruses or hard-drive failures.
With an online storage product, their data is protected from fire, flood, foolishness, or failure. All of their digital assets are stored several states away in a private vault.
#3 Family Pictures
The picture that’s taken today is valuable, but it becomes far more valuable in ten or twenty years. Imagine being able to go online and get pictures of your parents when they were children. The current generation of kids will be able to track their family history with photos as electronic vaulting technology becomes mainstream. CDs have a life of two to seven years, which makes them an unreliable storage medium for a lifetime of memories. Most other recording media goes out of production over a fifty year period.
With an online storage product, a photo taken today will be in perfect condition and accessible in one hundred years.
#4 School Projects – teamwork and sharing
A student is being questioned about the progress of their term paper by their teacher. Without access to their PC, they could have been in some serious trouble. But, with a vault, the student was able to get online from the teacher’s PC and grant access to a shared directory with the term paper and some research notes.
With an online storage product, the result is a happy teacher and a happy student.
Consumer Case Studies
#1 Tax Preparation Service
A leading tax preparer uses the vault to store and organize customer documents. Standard practice has been to send various tax documents to the tax prep service either by scanning them or mailing them directly. This results in a lot of back and forth that could be avoided with the use of a vault. The Verizon Online Storage Product allowed the tax service to create a password protected guest login, where clients can upload their documents, which can be organized and stored in a safe, private, tamper-proof location. The finished tax returns are then stored in the vault for viewing and long-term retention.
#2 Medical supply company
A leading medical supply company needed to distribute a 144 page price list to 90 offices on a monthly basis. In the past, traditional mail was used as a distribution mechanism, due to email size limitations. Even with express mailing service this process was expensive and slow, and exposed the sales force to confusion on tracking the current version.
An employee offered the use of their online vault to distribute the price list. A single controlled copy was uploaded to the vault, and the vault mail utility was used to notify the sales force that it was ready for distribution. Now, there’s:
- No more printing of 90 copies.
- No express mail expenses
- A single, official, authorized copy of the prices until the new list is uploaded
- An audit trail of whom received (downloaded ) the price list and when
- Access to the price list from anywhere (versus at their mailing address only)
Thus, major cost savings and significant productivity gains were realized.
#3 Creative Agency
A major marketing firm needed to move video files back and forth in the review process with their client (an NFL team). These files were too large to email, so they had to be copied and mailed to the client for review and editing recommendations. This process was slow, which caused project delays and confusion on which of the versions was the most current.
After implementing the vaulting solution, video files were loaded into the vault and problems listed above were avoided. Clients were granted guest access. The guest or multiple guests logged in, could review and collaborate on the project, accelerating the feedback loop and improving turn-around time.
#4 Construction Company
Using the online storage product allows a construction company to load and issue work orders in a scheduled manner. Using the guest access feature, dates are assigned for sharing certain documents. A log is maintained in the vault which tracks when they are downloaded.
